2. Professional Coaching Disclaimer (Not Therapy or Medical Advice)

  • Scope of Practice: Coaching is a forward-looking partnership designed to develop self-awareness, personal accountability, healthy boundaries, and strategic action toward personal or professional objectives.
  • Not Medical or Psychological Healthcare: Coaching is not psychotherapy, clinical counselling, psychiatric diagnosis, mental health therapy, or medical advice. Coaching does not treat or cure psychiatric or clinical conditions.
  • Client Autonomy: You retain sole responsibility and autonomy for your mental, emotional, and physical well-being, as well as for all choices, actions, and results resulting from coaching. If you are experiencing acute psychological distress or require medical care, you agree to consult a licensed medical or mental health professional.

3. The 20-Minute Assessment Call

  • Nature & Purpose: We offer an introductory 20-Minute Assessment Call conducted online via Google Meet.
  • Non-Binding: This consultation serves exclusively to discuss your goals, evaluate mutual fit, and determine suitability. It carries no financial cost and creates no ongoing obligation to purchase coaching services.
  • Pre-Purchase Inquiries: Any questions regarding expectations, session rhythm, logistics, or suitability must be clarified during this assessment call prior to purchasing sessions.

4. Fees, Payment & Taxes

  • Individual Coaching Fee: Individual 1-on-1 coaching sessions are priced at €90 (ninety Euros) per session. For consumers residing within the European Union, this price is inclusive of applicable Dutch statutory VAT (btw). There are no multi-session bulk discounts; all sessions are billed individually.
  • Corporate & Organizational Engagements: Coaching, leadership workshops, or consulting for businesses and corporate teams are evaluated on a case-by-case basis. Scope, fees, and deliverables for organizations are governed exclusively through a customized, written Statement of Work (SOW).
  • Payment Requirement: Prepayment in full via our authorized payment processor (Stripe) is mandatory prior to confirming, reserving, or conducting any coaching session.
  • International Currency Conversion: Fees are charged in Euros (€). Clients residing outside the Eurozone (including the United States, United Arab Emirates, and India) are responsible for foreign exchange fees, bank conversion charges, and any local consumer taxes levied by their financial institution.

5. Scheduling Rhythm, Validity & Expiration Policy

  • Single Sessions: Any single purchased session must be scheduled and completed within 30 calendar days from the date of payment. Sessions not scheduled within this timeframe expire and are forfeited.
  • Multiple Session Purchases: Where a client purchases multiple individual sessions (e.g., 10 sessions), sessions are designed to be utilized at an agreed cadence of one (1) session per calendar month. The maximum validity period is calculated as 30 calendar days multiplied by the number of sessions purchased (e.g., 10 sessions remain valid for up to 10 consecutive calendar months).
  • Cadence Flexibility: While sessions should follow a regular monthly rhythm, session frequency may be adjusted by mutual written agreement (e.g., accommodating holiday travel or work projects by holding two sessions in a subsequent month), provided all sessions are delivered within the total validity period.
  • Forfeiture & Extensions: Sessions unused after the total validity period lapses are forfeited without entitlement to credit or refund. In cases of documented medical emergency or incapacity, validity may be extended upon written confirmation via connect@soniajoseph.com prior to the expiration date.

5.1. International Scheduling & Time Zone Flexibility

  • Global Practice & Automatic Time Conversion: We work with clients worldwide across North America, the UAE, India, and Europe. Our online booking calendar (Calendly) automatically detects and displays all available appointment times in your local time zone, making scheduling effortless.
  • Personalized Scheduling Accommodations: Coaching should fit comfortably into your life. While session administration operates from the Netherlands, our calendar is designed to serve a broad range of international hours. If your local time zone, work schedule, or personal commitments make it difficult to find a suitable slot in the standard calendar, simply reach out to connect@soniajoseph.com. We are always glad to coordinate directly and arrange flexible, alternative meeting times that work well for both of us.

6. Rescheduling, Punctuality & Coach Availability

  • 24-Hour Rescheduling Notice: You may reschedule an appointment without penalty by providing written notice via connect@soniajoseph.com at least 24 hours prior to the scheduled start time.
  • Late Cancellations & Absences: Sessions rescheduled or cancelled with less than 24 hours’ notice, as well as appointments where the Client is absent after 15 minutes of the start time, will be treated as completed, non-refundable, and deducted in full. If you arrive late within the first 15 minutes, the session will still conclude at the scheduled end time.
  • Coach Rescheduling & Force Majeure: If the Coach must reschedule due to emergency, severe illness, or technical disruption outside reasonable control, as much advance notice as possible will be provided. The session will be rescheduled to an alternative mutually agreeable time, and the session’s expiration window will be extended accordingly.
  • Virtual Infrastructure: All sessions are conducted via Google Meet. Clients are responsible for ensuring adequate hardware, audio-visual equipment, and high-speed internet connectivity.

7. Refund Policy & Statutory Rights of Withdrawal

  • Final Sale: Except where mandatory consumer protection statutes provide otherwise, all coaching purchases are final and non-refundable. There is no money-back guarantee, trial period, or discretionary refund policy once a booking has been confirmed.
  • EU/Dutch Statutory Right of Withdrawal (Herroepingsrecht): Consumers residing within the European Union retain a statutory right to withdraw from an online contract within 14 calendar days from payment without providing a reason, pursuant to Dutch Civil Code Book 6, Article 230m et seq.
  • Express Waiver for Immediate Service Delivery: By requesting or scheduling a coaching session that takes place within this 14-day statutory period, you explicitly request that the coaching service commence before the expiration of the withdrawal window. You acknowledge and agree that once the scheduled session has been fully delivered, your statutory right of withdrawal is waived and completely extinguished in accordance with Dutch Civil Code Book 6, Article 230t.
  • Model Withdrawal Notice: To exercise a valid statutory withdrawal within 14 days before any session has occurred, email a clear statement to connect@soniajoseph.com stating: “I hereby give notice that I withdraw from my contract for the purchase of coaching services, ordered on [Date], Name: [Your Name], Address: [Your Address].” Reasonable payment processing gateway deductions may apply in accordance with statutory rules.
  • Non-EU Jurisdictions: For clients residing outside the EU (including the US, UAE, and India), all purchases are strictly final and non-refundable upon payment.

8. Confidentiality & ICF Code of Ethics

  • Confidentiality Commitment: All private coaching discussions and disclosures are held in strict confidence in alignment with International Coaching Federation (ICF) professional ethical standards.
  • Exceptions to Confidentiality: Disclosures will not occur except: (1) with your express written consent; (2) where required by a lawful court order or statutory mandate; (3) where there is clear and imminent danger of bodily harm to yourself or others; or (4) to prevent unlawful acts.
  • Professional Supervision: In accordance with ICF certification maintenance, case scenarios may occasionally be discussed anonymously during mentor coaching or professional supervision without disclosing any identifying details.
